Database and Administrative Specialist
We are currently seeking a full-time Database and Administrative Specialist to join our team in Grand Rapids, MI. This position plays a critical role in supporting the fundraising and operational success of the organization. This position is responsible for managing donor data integrity, processing gifts, generating reports, and providing administrative support to ensure efficient development operations.
Position Responsibilities:
Donor Database Management
- Performs accurate and timely data entry for donations, pledges, and donor information.
- Conducts regular audits and data hygiene checks to ensure accuracy and compliance.
- Develops and runs queries, reports, and dashboards for fundraising analysis and board reporting.
- Collaborates with the Development Director to segment donor lists for mailings, events, and campaigns.
- Implements and documents database policies, procedures, and best practices.
- Leads timeline and deliverables for department projects.
- Works collaboratively with the Directors of Development and Communications on stewardship materials.
- Supports the Development Director and VP of Development and Communications to create a culture of philanthropy at Habitat Kent.
Gift Processing & Donor Stewardship
- Processes all incoming gifts (online, mail, credit card, stock transfers) and generates timely acknowledgments.
- Tracks pledge payments, sends reminders, and ensures fulfillment rates.
- Coordinates donor recognition activities and maintains stewardship records.
- Reconciles gift records with the finance department to ensure accurate reporting.
Administrative Support
- Provides general administrative support to the Development team, including scheduling, filing, and correspondence.
- Assists with event logistics, mailings, and donor communications.
- Manages office supplies and maintains organized filing systems for donor-related documents.
- Supports annual audit preparation and compliance documentation.
Organizational
- Attends community events and programs to support outreach and promotion of Habitat Kent programs.
- Attends home dedications and groundbreaking activities.
- Promotes the mission, vision, and values of Habitat Kent.
- Receives and maintains professional development training necessary to fulfill the minimum standards of the essential responsibilities, including annual training dedicated to fostering an inclusive culture, enhancing intercultural competencies, and promoting fairness and belonging for all individuals.
Performs other duties as assigned.
Position Qualifications:
- Bachelor’s degree or equivalent required.
- 2-4 years of management/supervisory experience required.
- Effective interpersonal communication skills.
- Strong organizational skills with the ability to manage multiple projects efficiently.
- Excellent verbal & written communication skills.
- Proficiency in Microsoft Office and Outlook required.
- Experience with donor databases
- Detail-oriented.

Pay Range and Benefits:
- Salary range: $52,000-$57,000 a year
